Terms & Conditions
By registering for the Brno Playback Theatre Gathering 2026, you confirm that you have read, understood, and agreed to the following Terms & Conditions.
1. Registration and Payment
Registration is confirmed only after the registration form has been completed and the required participation fee has been paid.
The participation fee, inclusions, and any applicable discounts are stated on the registration page.
The registration fee covers only the services and activities explicitly stated in the event description. Travel to and from Brno, personal expenses, dinners, insurance, and other expenses not explicitly included in the registration fee are the responsibility of the participant.
The registration is personal to the participant unless the place is formally transferred to another person in accordance with the transfer policy below.
2. Cancellation and Refund Policy
If you need to cancel your registration, please notify us in writing as soon as possible.
Cancellation until August 31, 2026
You will receive a full refund of the participation fee, minus a €20 registration and administrative fee.
Cancellation between September 1 and September 30, 2026
You will receive a 50% refund of the participation fee.
Cancellation from October 1, 2026 onward
Unfortunately, we are unable to offer refunds for cancellations received from October 1, 2026 onward, as significant organizational commitments and expenses will already have been made.
These cancellation terms apply unless otherwise required by mandatory applicable consumer law.
3. Transfer of Registration
If you are unable to attend, you may transfer your place to another person. A transfer is possible until 3 days before the beginning of the Gathering, subject to prior written notification and confirmation from the organizers.
A €20 transfer/administrative fee applies. The new participant must provide all information required for registration and agree to these Terms & Conditions.
4. Changes to the Programme
The organizers reserve the right to make reasonable changes to the programme, facilitators, schedule, venue, or other event arrangements when necessary.
We will make reasonable efforts to maintain the character, quality, and overall structure of the Gathering. If significant changes materially affect the event, participants will be informed as soon as reasonably possible.
5. Cancellation or Postponement of the Gathering by the Organizers
In the unlikely event that the Gathering must be cancelled by the organizers, participants will be informed as soon as possible. In such circumstances, the organizers will provide a refund of the participation fees paid, in accordance with the applicable circumstances and applicable law.
The organizers cannot be held responsible for additional expenses incurred by participants, including travel, accommodation booked independently, visa costs, or other personal expenses.
If the Gathering is postponed rather than cancelled, participants will be offered the option to transfer their registration to the new date or receive a refund according to the arrangements communicated by the organizers.
6. Force Majeure
The organizers shall not be liable for failure to hold or substantially modify the Gathering due to circumstances beyond their reasonable control, including but not limited to natural disasters, war, governmental restrictions, public health emergencies, strikes, serious transport disruption, or other force majeure events.
In such circumstances, the organizers will communicate with participants and seek a fair and reasonable solution in accordance with applicable law.
7. Participant Responsibility
Participants are responsible for their own physical and emotional wellbeing during the Gathering.
The workshops and activities may include theatrical, improvisational, experiential, movement-based, and emotionally engaging exercises. Participants are encouraged to respect their own boundaries and may choose not to participate in any particular exercise.
The Gathering is an educational and experiential event and does not constitute psychotherapy, medical treatment, or psychological treatment for participants.
8. Respectful Participation
We are committed to creating a respectful, inclusive, and safe environment for all participants. Participants are expected to treat other participants, facilitators, organizers, and staff with respect.
Discrimination, harassment, intimidation, threatening behaviour, or other serious violations of the wellbeing of other participants will not be tolerated.
The organizers reserve the right to ask a participant to leave the Gathering in cases of serious or repeated inappropriate behaviour. In such circumstances, no refund will normally be provided, subject to applicable law.
9. Photography, Video and Documentation
Photography and video recording may take place during the Gathering for documentation and promotional purposes. We will make reasonable efforts to inform participants when photography or filming is taking place.
If you do not wish to appear in photographs or videos used for promotional purposes, please inform the organizers in writing before or during the Gathering.
10. Personal Data and Privacy
Personal information collected during registration will be used for the purposes of administering the Gathering, communicating with participants, arranging accommodation and meals where applicable, processing payments, and meeting legal and organizational requirements.
Personal data will be handled in accordance with applicable data protection legislation, including the General Data Protection Regulation (GDPR) where applicable — see our Privacy Policy for full details.
Participants' personal information will not be sold to third parties.
11. Complaints and Contact
If you have any questions, concerns, or complaints regarding your registration or participation in the Gathering, please contact the organizers as soon as possible. We will make reasonable efforts to address complaints fairly and promptly.

13. Acceptance of the Terms
By completing the registration and payment process, you confirm that:
- you have read and understood these Terms & Conditions;
- you accept the Cancellation & Refund Policy;
- the information you have provided during registration is accurate;
- you agree to comply with the participant guidelines and respectful participation policy.
These Terms & Conditions apply to all registrations for the Brno Playback Theatre Gathering 2026.
